Alternative Provision Attendance & Cancellation Policy

This policy applies to all Alternative Provision commissioned through Local Authorities, schools, academies, pupil referral units (PRUs), youth justice services, virtual schools, social care teams and other referring organisations.

Attendance and Cancellation

Alternative Provision sessions are commissioned and timetabled in advance as part of an agreed programme of support. Time allocated to a young person is reserved exclusively for them and cannot ordinarily be reallocated at short notice.

Regular session times and locations will be agreed in advance with the family and/or referring organisation.

Cancellation and Rearrangement

  • Wherever possible, a minimum of 5 working days' notice should be provided if a session needs to be cancelled or rearranged.
  • Provision is commissioned in advance and allocated hours are reserved specifically for the young person. As a result, reserved sessions may remain chargeable where late cancellation or non-attendance prevents the time from being reallocated.
  • Once provision has commenced and regular time slots have been agreed, sessions may remain chargeable where cancellation is made at short notice.
  • Sessions may also remain chargeable where a young person does not attend an agreed session without reasonable notice.
  • Every reasonable effort will be made to rearrange sessions where capacity allows.

Exceptional Circumstances

Exceptions may be considered in cases of:

  • Illness
  • Family emergencies
  • Safeguarding concerns
  • School closures
  • Severe weather or travel disruption
  • Other exceptional circumstances

Communication

Families and referring organisations are encouraged to communicate any known absences, appointments or changes to availability as early as possible to support continuity of provision and minimise disruption.
